3 Purposes and legal basis of the processing of personal data

3.1 Processing of personal data with regard to use of the Robotron websites

In the course of use of the websites we process the following categories of personal data:

  • IP address: We record the IP address of your computer, as well as the client´s file request (file name and URL), the http response code, and the internet page from which you were directed to our website
  • Cookies: Our internet sites use cookies. These are small text files that are stored on your computer and in your browser. The cookies used by us do not harm your computer. The purpose of cookies is to make our website more user friendly, more effective, and more secure. Most of the cookies used by us are so-called “session cookies”. Other cookies will remain saved on your device until you delete them. Such cookies enable us to recognise your browser at your next visit.

Notice: You may adjust your browser settings so that you are informed before cookies are placed. This way you can allow cookies individually on a case-by-case basis, or exclude cookies generally or for particular cases, or activate the automatic deletion of cookies when the browser is closed.   • Blog entries: Our website provides a blog functionality where you have the option to comment, or share, blog entries of us. In this regard, your respective provided data and/or entries will be stored (e.g. name or user name, e-mail address, comment).

 

3.2 Processing of personal data concerned with regard to the use of our social media sites

We provide social media sites on Facebook, Twitter, LinkedIn, Xing, Youtube, or Instagram (depending on the particular company). For these sites we use the technical platforms and services of the particular third party platform providers. Those platforms are operated by external third party providers, not by us. We provide the particular user sites only.

When you visit our social media sites, we will process the data as provided by you to us on the particular sites (e.g. name or user name, comments, images, likes, etc.). In particular, your public messages (e.g. comments, images, likes, etc.) will be published on the particular site. We may also share your contents on our site, or communicate with you via our social media sites.

On our websites we have placed links to our social media sites. Further, we have also embedded videos on our websites which are stored on our social media sites. Our websites may also provide so-called “share buttons” which give you the option to share content on our websites on social media networks.

When you visit our websites, i.e. when the links to the social media sites, or embedded videos, or share buttons, are displayed on our websites, no data of you will be transferred to the third party platforms, in particular not your IP address.

Only once you actively click on the particular link, video, or share button, you will be directed to the particular third party platform. Please note that in this case personal data may be collected or processed by the particular third party platform provider (e.g. IP address, placing of cookies, etc.).

Please note that we have no influence on the processing of personal data by external social media platform providers, and are not responsible for such processing. Therefore, your use of social media platforms or related functionalities is in your own responsibility. The platform providers may transfer data to countries outside the European Union. 3.3 Purposes and legal basis

Our website and our social media sites are operated for reasons of information, public relations, and communication, which is a legitimate interest of us.

The technical data as collected on our website will be used for the purpose of optimising our website provision, in particular for the purpose of making our website more user friendly, more effective, and more secure. 

On our website, we perform a web analysis by use of the web analysis programme “Matomo”, which is hosted by Robotron Datenbank-Software GmbH on its own servers so that no data is transferred to third parties. For these purposes, we have a legitimate interest.

The data collected through submission of our website forms will be processed for the particular purpose of the respective form. Regarding the contact form this purpose is the communication with uns. Regarding the course registration form, the purpose is the preparation of the contract for the particular course. Regarding the newsletter registration form the purpose is the distribution of newsletters. For offer request forms, the relevant purpose is the pre-contractual exchange of information.

In certain cases we process your personal data based on your consent, which is in particular the case regarding the contact form, the newsletter registration, or comments submitted by you on our website.

The legal basis for the processing of personal data is in particular Art. 6 (1) lit. a), lit. b), and lit. f) GDPR.

 

4 Recipients of personal data

As a general principle, your personal data will only be available to internal recipients, insofar as they are involved in the particular purposes of processing.

When you use our social media sites, the external platform providers will receive the particular data. The platform providers may transfer data to countries outside the European Union. For information on data protection please refer to the particular external social media provider. 
 

5 Storage period

The period of storage of personal data will be determined according to the particular legitimate purpose of processing. Your data will be stored from the time of collection or provision. The storage and processing will be carried out as long as it is required for the particular purposes. In case of statutory retention periods the data will be stored for that period. Regarding cookies, your browser settings will determine the storage periods or deletion.

Entries into forms on our website (in particular: contact form, course registration form, newsletter registration form, application form), or documents transferred via such website forms, will be stored on the website server of Robotron Datenbank-Software GmbH, and will from there be automatically forwarded to the particular recipients. Data/documents on the website server will be automatically deleted after 90 days. The storage period regarding the forwarded data/documents will be determined according to the particular purpose of processing.

In case of questions or requests regarding data protection, you may at any time contact us. We will quickly work to solve your request in order to find a solution that fully satisfies your interests and rights. 

The persons affected by the processing of personal data have in particular the following statutory rights:

  • Right of access to personal data (Art. 15 GDPR)
  • Right to rectification of inaccurate personal data (Art. 16 GDPR)
  • Right to erasure of personal data (Art. 17 GDPR)
  • Right to restriction of processing of personal data (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)
  • Right to object against processing of personal data (Art. 21 GDPR)
  • Right to withdraw consent at any time (the lawfulness of processing based on consent before its withdrawal remains unaffected)
  • Right to lodge a complaint with a supervisory authority (Art. 77 GDPR)

The provision of information on the site forms is without legal obligation. However, where particular information is not provided, we will not be able to process your request (in particular regarding the information marked as mandatory, which does not establish a legal obligation).

Regarding the technical data, the processing is automated in order to be able to use the website functionalities. You may deactivate cookies in your browser settings; however, please note that a deactivation of cookies may reduce the functionality of our website.
