3 Purposes and legal basis of the processing of personal data
3.1 Processing of personal data with regard to use of the Robotron websites
In the course of use of the websites provided by Robotron, we process the following categories of personal data:
- IP address: We record the IP address of your computer, as well as the client´s file request (file name and URL), the http response code, and the internet page from which you were directed to our website.
Notice: You may adjust your browser settings so that you are informed before cookies are placed. This way you can allow cookies individually on a case-by-case basis, or exclude cookies generally or for particular cases, or activate the automatic deletion of cookies when the browser is closed. Please note that a deactivation of cookies may reduce the functionality of our websites.
- Server log files: Robotron automatically collects and stores information which your browser automatically transfers to us in so-called server log files. Such information contains:
- browser type and Version
- operating system used
- referrer URL
- host name of accessing computer
- time and date of server request
- Form entries: Our website provides forms which may be used for electronic communication. This applies in particular to the contact form, the course registration form, and the newsletter registration form. Insofar as you make entries into our website forms, we will process the data as entered into the forms (in particular name, communication and contact information, address, company, etc.). The transmission is secure (https).
- Blog entries: Our website provides a blog functionality where you have the option to comment, or share, blog entries of Robotron. In this regard, your respective provided data and/or entries will be stored (e.g. name or user name, e-mail address, comment).
3.2 Processing of personal data concerned with regard to the use of our social media sites
Robotron provides social media sites on Facebook, Twitter, Xing, Youtube, and LinkedIn. Those platforms are operated by external third party providers, not by Robotron. Robotron provides the particular user sites only.
When you visit our social media sites, we will process the data as provided by you to us on the particular sites (e.g. name or user name, comments, images, likes, etc.). In particular, your public messages (e.g. comments, images, likes, etc.) will be published on the particular site. We may also share your contents on our site, or communicate with you via our social media sites.
On our websites we have placed links to our social media sites. Further, we have also embedded videos on our websites which are stored on our Youtube channel. Our websites may also pro-vide so-called “share buttons” which give you the option to share content on our websites on social media networks.
When you visit our websites, i.e. when the links to the social media sites, or embedded videos, or share buttons, are displayed on our websites, no data of you will be transferred to the third party platforms, in particular not your IP address.
Only once you actively click on the particular link, video, or share button, you will be directed to the particular third party platform. Please note that in this case personal data may be collected or processed by the particular third party platform provider (e.g. IP address, placing of cookies, etc.).
Please note that Robotron has no influence on the processing of personal data by external social media platform providers, and is not responsible for such processing. Therefore, your use of social media platforms or related functionalities is in your own responsibility. For information on data protection please refer to the particular external social media provider.
3.3 Purposes and legal basis
The data IP address, cookies, and server log files as collected on our website will be used for the purpose of optimising our website provision, in particular for the purpose of making our website more user friendly, more effective, and more secure. For this, we in particular perform a web analysis (by use of the web analysis programme “Matomo”, which is hosted on Robotron´s own servers so that no data is transferred to third parties). For these purposes, Robotron has a legitimate interest.
Our website and our social media sites are operated for reasons of information, public relations, and communication, which is also a legitimate interest of Robotron.
The data collected through submission of our website forms will be processed for the particular purpose of the respective form. Regarding the contact form this purpose is the communication with Robotron. Regarding the course registration form, the purpose is the preparation of the contract for the particular course. Regarding the newsletter registration form the purpose is the distribution of newsletters.
In certain cases we process your personal data based on your consent, which is in particular the case regarding the contact form, the newsletter registration, or comments submitted by you on our website.
The legal basis for the processing of personal data is in particular Art. 6 (1) lit. a), lit. b), and lit f) GDPR.
4 Recipients of personal data
As a general principle, your personal data will only be available to internal recipients, insofar as they are involved in the particular purposes of processing. In particular, also the web analysis is carried out by Robotron without use of external providers.
5 Transfer to third countries
There is no transfer of personal data to third countries. In particular, Robotron does not transfer any personal data to the external providers of social media platforms. Rather, such particular external providers collect and process personal data in their own responsibility; Robotron has no influence on this.
6 Storage period
The period of storage of personal data will be determined according to the particular legitimate purpose of processing. Your data will be stored from the time of collection or provision. The storage and processing will be carried out as long as it is required for the particular purposes. In case of statutory retention periods the data will be stored for that period. Regarding cookies, your browser settings will determine the storage periods or deletion.
7 Your rights
In case of questions or requests regarding data protection, you may at any time contact Robotron. Robotron will quickly work to solve your request in order to find a solution that fully satisfies your interests and rights. For any concerns, you may also contact the Robotron Data Protection Officer.
The persons affected by the processing of personal data have in particular the following statutory rights:
a) Right of access to personal data (Art. 15 GDPR)
You have the right to obtain from Robotron confirmation as to whether or not personal data concerning you is processed. In this case, you can request from Robotron particular information, as well as a copy of the respective personal data.
b) Right to rectification of inaccurate personal data (Art. 16 GDPR)
You have the right to obtain from Robotron the rectification of inaccurate personal data concerning you, and/or the completion of incomplete personal data.
c) Right to erasure of personal data (Art. 17 GDPR)
You have the right to obtain from Robotron the erasure of personal data concerning you. This applies in general only where no legitimate legal basis for processing exists (any more), and where there are no statutory exceptions that exclude an erasure.
d) Right to restriction of processing of personal data (Art. 18 GDPR)
Under certain circumstances you may have the right to obtain from Robotron the restriction of processing of personal data concerning you. This applies to specific statutory cases; as a consequence a further processing will (temporarily or perpetually, as applicable) be subject to particular restrictions.
e) Right to data portability (Art. 20 GDPR)
In cases where the processing of personal data is based on a consent and is carried out by automated means, you may request to receive the personal data which you have provided in electronic format, in order to enable you to transfer this data to another controller.
f) Right to object against processing of personal data (Art. 21 GDPR)
The right to object applies in cases where the processing of personal data is carried out for the purpose of legitimate interests pursued by Robotron, or for direct marketing. As a consequence, a particular balancing of interests must be carried out.
For further details regarding the described rights please refer to the particular statutory provisions. There may also apply exceptions deriving from the statutory provisions, so that the described rights may not always fully apply.
g) Right to withdraw consent
Where you have given your consent to the processing of personal data, you have the right to withdraw your consent at any time. The lawfulness of processing based on consent before its withdrawal is not affected.
h) Right to lodge complaint with supervisory authority
Finally, you also have the right to lodge a complaint with a supervisory authority (responsible for Robotron is the Data Protection Officer for the Free State of Saxony).
8 Provision of personal data
The provision of personal data is obligatory only regarding the course registration, as otherwise the course may not be held.
The provision of contact information, and the newsletter registration is without legal obligation. However, where particular information is not provided, Robotron will not be able to process your request (in particular regarding the information marked as mandatory, which does not establish a legal obligation).
Regarding IP addresses, cookies, and server log files, the processing is automated in order to be able to use the website functionalities. You may deactivate cookies in your browser settings; however, please note that a deactivation of cookies may reduce the functionality of our Website.
